Move everything, lose nothing

Salesforce, Zoho, Pipedrive, another HubSpot portal, or years of Excel spreadsheets — into one portal that works. CRM data, marketing assets, pages, and redirects, including the CMS content HubSpot cannot natively move, which we built our own tool to handle.

21+ CRM migrations Salesforce, spreadsheets, or portal merges Source system stays live
Cutover ledger rsm-migrate / reconciliation
Records reconciled
100 % matched
Verified
Contacts, companies, deals, leads mapped
Marketing emails and segments preserved
Website pages and redirects live
Duplicates resolved in flight merged
Records lost in the cutover none
Nothing is decommissioned until every count in the new portal matches the old one.
The risks

What actually goes wrong in a migration

Export, import, done — that is how migrations are sold, and why so many end badly. Whatever you are moving from, its assumptions come across with the data: fields that meant something in Salesforce, columns nobody documented in a spreadsheet, pipelines shaped by a process you have since changed. You arrive in a new portal with the old problems and a fresh bill.

Without a plan
How we nullify it

The old data model comes with it

High risk

Salesforce concepts, spreadsheet columns, and legacy portal fields do not map cleanly onto HubSpot objects. Copied across unchanged, they leave you with fields nobody can explain and reports that quietly do not add up.

You end up with
Reports that disagree with each other

Field-level mapping, signed off first

Every source field is mapped to its destination property before anything moves, with the transformation written down wherever the two do not match one to one.

You end up with
One set of numbers everyone works from

Duplicates arrive multiplied

High risk

If the source already held three records for one customer, a straight import creates three in the new system — and often more, when a partial second pass runs.

You end up with
Reps unsure which record is the live one

Deduped in flight, on real match rules

Duplicates are merged during the migration against rules that fit your business, so you land in a portal that is cleaner than the one you left rather than just newer.

You end up with
One record per customer, history intact

Associations break silently

High risk

Contacts land without their companies, deals without their contacts. Every record exists, so the counts look right, but the relationships between them are gone.

You end up with
Deal history that trails off into nothing

Associations migrated as first-class data

Relationships are mapped alongside records, then verified after load — because a contact with no company attached is not a migrated contact.

You end up with
Every record still attached to its context

CMS content gets abandoned

Common

HubSpot moves CRM data well and website content badly. Most migrations quietly drop the pages, or commit to rebuilding them by hand over the following months.

You end up with
A website rebuild you did not budget for

A purpose-built tool for the CMS gap

Our developer built a tool specifically for the website content HubSpot cannot natively move, so pages and forms come across with the data.

You end up with
Pages live on day one — 87 for Symplicity

Redirects are an afterthought

Common

URLs change and nobody maps the old ones forward. Inbound links and rankings built up over years point at pages that no longer resolve.

You end up with
Organic traffic falling away after launch

Redirects mapped, then verified live

Old URLs are mapped forward as part of the move and checked after cutover, so existing links and search rankings keep working.

You end up with
Rankings and inbound links still working

Nobody reconciles afterwards

Costly later

Without a count-by-count check against the source, a missing few percent of records goes unnoticed — and by the time it surfaces, the old system has been switched off.

You end up with
Missing data you can no longer recover

The source stays live until counts match

We reconcile object by object against the source system, and nothing is decommissioned until the new portal demonstrably holds everything the old one did.

You end up with
A verified match before anything switches off
Every one of these is a mapping failure, not a tooling failure. The data moves fine — what breaks is the meaning attached to it.
How we handle it

Nothing moves until it has somewhere to land

Before a single record is exported, we produce three documents you sign off on: a field-level data map, the process flows the portal has to support, and a decision on every property in the source system.

01

Field-level data mapping

Every object and field in the source system is mapped to its destination before anything moves, with the transformation written down where the two do not match one to one.

Source field → HubSpot property, one row each
Picklist and dropdown values reconciled
Owner, date, and currency formats normalized
Associations mapped, not just records
Output: a signed-off mapping document
02

Process flows first

We document how work actually moves through your business, then shape the destination portal around that — so the pipeline you land in reflects the process you run now.

Stages defined by real exit criteria
Handoffs between teams mapped
Exceptions accounted for up front
Automation planned, not inherited
Output: process flows you approve
03

Every property has a place

Each field in the source system gets an explicit verdict. Nothing crosses by default and nothing disappears quietly — the decisions are recorded and reviewable.

Full inventory of source fields
A verdict recorded against each one
Reasons attached to anything dropped
No orphaned or unexplained properties
Output: a property decision register
Every property gets a verdict

We inventory every field in the source system and assign each one an outcome. Nothing is migrated by default, and nothing is dropped silently — if a field is being left behind, it appears on the list with a reason next to it.

Migrate
Actively used and mapped to a destination property.
Merge
Duplicated across fields and consolidated into one.
Archive
Kept for history but retired from daily use.
Leave behind
Unused for a year or more, with the reason recorded.
And the inventory covers all of it
01
Core CRM data
Contacts, companies, deals, leads, custom objects — associations rebuilt.
01b
Historical data preserved
Activities, notes, emails, and deal history migrate with the records.
01c
Test migration first
A small batch moves before the full dataset, while a mistake is still cheap.
01d
Training + 30-day support
A training session so the team works day one, then 30 days of fixes.
02
Pipelines remapped
Stages redesigned around your current process.
03
Marketing assets
Emails, lists, and segments with their history intact.
04
Website and CMS content
Pages, forms, and blog content, plus redirects mapped forward.
05
Cleanup in flight
Duplicates merged and dead properties retired as it moves.
06
Reconciliation and QA
Object-by-object count matching before anything switches off.

How it works

Four phases, run in parallel with business as usual

Phase 1
Inventory and mapping
What lives where, what it means, and how each concept should translate into HubSpot. Decisions documented before anything moves.
Phase 2
Build the target portal
Objects, properties, and pipelines configured to receive the data in its new shape, not its old one.
Phase 3
Migrate and reconcile
Data, assets, pages, and redirects moved in staged batches, each reconciled against the source before the next.
Phase 4
Cutover and decommission
Team trained on the new portal, forms and workflows verified live, then the old system retired.
No downtime — the source system stays live throughout, and nothing is switched off until counts match Typically four to eight weeks

Contacts, companies, marketing assets, and an 87-page website consolidated into a single portal — without losing a page, breaking a form, or interrupting operations. Our developer built a purpose-built tool for the CMS content HubSpot cannot natively move.

★★★★★

Before working with RSM, we had two HubSpot CRM instances and a whole mess of data in both. RSM took the reins and migrated our systems into one, systematically helped us clean and sort the data, and made sense of everything. Now we have a fully functioning CRM!
