What 'Data Hygiene' Actually Means for HubSpot Admins

Everyone talks about "data hygiene" like it's a single thing you do once. It's not. It's an ongoing set of practices.

Here's what it actually means

  • Accuracy. Information reflects reality. Email addresses are valid. Job titles are current.
  • Completeness. Critical fields are populated. Every contact has an email. Every deal has an amount.
  • Consistency. Data follows standards. Phone numbers formatted the same way. Lifecycle stages mean the same thing.
  • Timeliness. Information is current. Contacts who left companies are updated. Stale records are archived.
  • Uniqueness. No duplicates. One record per person, one per company.

The practical implementation

  1. Daily: Reps update records after every interaction.
    Mandatory Properties, Pipeline Automations, and clear processes ensure that you have the most up to date and relevant details in every record. 
  2. Weekly: Review new records for quality issues.
    Keep views handy for the newest records and segmenting to watch for trends in data cleanliness.
  3. Monthly: Duplicate review. Stale record audit.

  4. Quarterly: Deep audit. Training refresher.
